DUTIES AND RESPONSIBILITIES
The Administrative Assistant is based out of our New York City office and supports the organizing department including coordination of work between the office and field staff. They report directly to Administrative Manager. The staff of this district office often work outside the office and rely on the AA to help coordinate their office responsibilities and district events.

RESPONSIBILITIES INCLUDE:

  • Review candidate resumes and onboard members to our Brigade and New Organizer Training Program (NOTP);
  • Receive and process data from the field staff
  • Serve as point person for Administration and Finance staff (NY Office). Process transactions and expenses through web-based systems.
  • Monitor and processing requests via the ticketing system (Spiceworks);
  • Receive general calls and triage issues;
  • Schedule meetings and coordinate space, presentation materials, access for attendees, etc.;
  • Virtual/Zoom meeting management, including breakout room assignments, translation group setup, and managing screen sharing access;
  • Schedule and coordinate travel/hotel and car rental for workers;
  • Coordinate mailings;
  • Manage vendor relationships; make purchasing and travel decisions for district actions and events;
  • Other duties as assigned.

QUALIFICATIONS:

  • Problem solving skills, including effective troubleshooting, and anticipating and finding solutions to developing problems;
  • Strong attention to detail and written and verbal communication skills;
  • Experience managing a fast-paced office;
  • Proficiency in MS Office & Zoom; ability to learn internal data and workflow systems required;
  • Strong interpersonal skills, including working with a diverse audience;
  • Interest in social justice issues not required but a plus.

WORK ENVIRONMENT:

  • The position is a full-time position based out of our New York City office.
  • This position occasionally requires time outside normal business hours, including some nights and weekends.
  • This position will occasionally require travel outside of New York State.
  • The union currently offers a remote work policy of one remote day per week at the discretion of the manager.

PHYSICAL DEMANDS:

  • This position is largely office/computer based with frequent in-person and Zoom meetings. On occasion you may be asked to attend rallies and marches with our workers.

COMPENSATION & BENEFITS:
The salary for this role is $50,893.44, depending on experience. 32BJ offers a generous benefits package that includes a fully employer-paid medical, dental and vision plan (for full-time employees and their qualified dependents) and retirement benefits, including a defined benefit pension plan and 401K. 32BJ offers paid time off including three weeks’ vacation, eleven holidays, twelve sick days and, after the first year of service, four personal days. The union currently offers a remote work policy of one remote day per week at the discretion of the manager.
