LA Voice is seeking a full-time Operations Coordinator. The Operations Coordinator is part of a multi-disciplinary team that performs administrative duties to help serve the mission and goals of LA Voice and our affiliated 501c(4) LA Voice Action.

The Operations Coordinator is responsible for providing administrative support that encompasses office management, event logistics, human resources, financial management, and executive support. The Operations Coordinator will work closely with the Operations Director to develop and implement strategies and processes that ensure LA Voice and LA Voice Action’s operational efficiency and sustainability.

The ideal candidate will have excellent communication skills, exceptional problem-solving skills, administrative experience, basic accounting experience, and comfort with various technologies and softwares such as Quickbooks, Google Suite, Slack, and Microsoft Office.

Responsibilities and Duties:

Administrative Support:
Performs a variety of administrative and clerical activities such an answering calls and email inquiries, mail management, record and documentation management
Supports LA Voice program staff with administrative and tech support
Assists with compliance audits of administrative policies and procedures
Logistical and Event Support:
Coordinates logistics for meetings, actions, and events
Owns the execution and logistics of staff events
Executive Support:
Manages the Executive Director and Chief Operating Officer’s schedules and calendars, and provides some administrative support
Managers the Executive Director’s emails
Human Resources:
Arranges, conducts and supports recruitment and termination, benefits enrollment, and compliance audits
Finance:
Assists with payroll, accounts payable, and accounts receivable
Prepares invoices, expense reports, and grant reporting
Other duties as assigned

Qualifications Required:

Three to five years of experience working in nonprofit administration or related field
Excellent database management skills, i.e. record keeping, analysis, research, and reporting
Experience with internal financial processing systems, banking, and/or tax filing preparation
Experience with QuickBooks Online, Microsoft Office, Zoom, Google products, and an aptitude for learning new applications
Experience providing scheduling support
Problem-solving and critical thinking skills to develop strategies
An extremely high level of attention to detail and commitment to excellence and accuracy
An understanding of the need to handle confidential information with discretion
Ability to work both independently and collaboratively with a creative and innovative team

Other Possible Qualifications:

Fluency in Spanish or other language related to our work
A Bachelor’s Degree or higher-level degree in nonprofit administration or other related fields
Experience providing successful administrative support at the executive level
Personal life experience with the issues we focus on: immigration status, affordable housing, homelessness, or the criminal justice system

Compensation and Benefits:

A full-time position.
The job includes some evening and weekend work.
Hybrid position; the employee is able to work from home but must be able to report weekly to the office. Employees must be available for in-person meetings and campaign efforts.
The salary range is $58,000- $70,000 depending upon experience and demonstrated skill.
